POPIA Compliance
How we handle personal information on this website, in line with the Protection of Personal Information Act 4 of 2013.
IALE Institute (Pty) Ltd, registration number 2011/120994/07, of 145 Second Street, Max Building, Sandton 2196, Johannesburg, is the responsible party for personal information collected through this website. Our Information Officer is Dr Allen Mutono, reachable at allen@ialeinstitute.org.
When you complete an enquiry, enrolment, event booking or book order form on this site, what you type is sent to a private Google Workspace spreadsheet belonging to IALE Institute, and a summary is emailed once a day to allen@ialeinstitute.org. We use it only to respond to your request, prepare a quotation or proposal, arrange your place on a programme or event, fulfil your order, and keep a record of the engagement.
The fields we receive are the ones shown on the form you completed — typically your name, email address, phone number, organisation, role and location, together with the programme, event or title you are enquiring about and anything you write in the free-text boxes. We do not ask for, and you should never enter, identity numbers, banking details or passwords on any form on this site.
Records are held in Google Workspace under IALE Institute's own account, accessible only to authorised IALE staff. If your form cannot reach our system — for example your connection drops mid-submission — your browser falls back to opening a pre-filled email in your own mail programme instead, which you then choose whether to send.
We run our own first-party analytics on our own server. No third-party advertising or tracking services are used, and no tracking cookies are set. For each visit we record: the pages viewed, how long each part of a page was on screen, how far down the page you scrolled, which links you clicked, your device type, browser language and time zone, the website that referred you, and the country you visited from.
We do not store your IP address. Your country is resolved at the moment of the visit and the address is discarded immediately — it is never written to our records. We generate a random identifier in your browser so that repeat visits can be counted, and it contains no personal information.
Analytics help us understand which services people are looking for, which parts of the site are useful and which are ignored, and where in Southern Africa our audience is. This is a legitimate business interest under section 11(1)(f) of POPIA and is used only to improve the site and our services.
Analytics records are retained for a maximum of 400 days and then deleted automatically. Enquiry, enrolment, booking and order records are retained for as long as needed to serve you and to meet our record-keeping obligations, and are reviewed periodically so that records no longer needed for either purpose are deleted.
We do not sell, rent or trade personal information. Analytics data stays on our own hosting and is not shared with any advertising network. Enquiry and booking records are held in Google Workspace, which processes them on our instruction as our operator under section 20 of POPIA. Where you book a place at an event that another organisation hosts, we pass on only what that organiser needs to register you, and the page for that event says so before you submit. Client information is otherwise treated as confidential and is never released outside the engagement it belongs to.
You may ask what information we hold about you, ask us to correct or delete it, or object to how we use it. Write to allen@ialeinstitute.org and we will respond within a reasonable time. You also have the right to complain to the Information Regulator of South Africa.
If your browser sends a "Do Not Track" signal, our analytics does not run at all. You can also block analytics/collect.php in your browser or extension of choice.
